01Who this policy covers
SlimDesk, based in Hong Kong, operates the SlimDesk website and customer-support platform. This policy describes how personal information is handled in connection with those services. You can contact us at [email protected]. SlimDesk provides workspaces for teams to manage customers, conversations, connected channels, and tickets.
For account and service administration, the SlimDesk operator determines why and how information is used. For customer information entered into a workspace, the business running that workspace generally determines the purposes of processing, and SlimDesk processes that information on its behalf. If you contacted a business using SlimDesk, direct requests about that conversation to that business first.
02Information involved
Account and workspace information includes the details you provide to create and manage an account, such as your name, email address, authentication information, workspace details, and team membership.
Workspace content includes customer contact details, messages, conversation history, channel identifiers, tickets, assignments, and other information your team submits. Connected services may provide the information needed to receive messages and route replies.
Operating the service may also involve technical information such as IP addresses, browser and device information, request logs, timestamps, and security events. Please avoid submitting sensitive information that is not needed to resolve a support request.
03Purposes and legal grounds
Information is used to provide account access, operate workspaces, deliver messages, maintain customer and ticket records, respond to support requests, protect the service, and meet legal obligations.
Where data-protection law requires a legal basis, processing for our own purposes may rely on performing a contract, complying with a legal obligation, legitimate interests in operating and securing the service, or consent where required. The relevant basis depends on the processing activity. Workspace customer content is handled on the instructions of the workspace business under the applicable service and data-processing arrangements.
04Workspace access and connected channels
Workspace information is available to the team members authorized to use that workspace. Workspace administrators are responsible for managing access and for providing appropriate notices to their customers.
When a workspace connects a messaging provider, information needed to receive and send messages passes between SlimDesk and that provider. A reply is routed through the originating channel. Third-party providers have their own terms and privacy practices, which should be reviewed before connecting an account.
05Disclosure of information
Information may be disclosed to providers supporting the operation of the service, such as hosting, infrastructure, and communications providers, to the extent needed for their services. Access should be limited to the purpose for which information is shared.
Information may also be disclosed when required by law, to respond to valid legal process, or where necessary to protect the service or the rights and safety of affected people. A business transfer may require disclosure, subject to applicable confidentiality and data-protection requirements.
06Cookies and browser storage
The marketing pages do not currently include advertising trackers or third-party analytics scripts. The application may use browser storage or similar technologies to maintain authentication and other essential service functions.
Browser controls can limit or clear stored information, although doing so may sign you out or affect application functionality. If optional tracking is introduced, the relevant information and any consent required by law must be provided before it is used.
07Retention and deletion
Retention depends on the purpose of the information, the duration of the workspace relationship, the instructions of the workspace business, and applicable legal requirements. Some records may need to be retained for security, dispute resolution, or legal compliance after an account closes.
Requests concerning workspace customer content should be directed to the business responsible for the workspace. We assess retention by reference to those purposes rather than keeping all records indefinitely. Deletion from backups may take additional time under the applicable backup cycle, and records may be retained where required by law.
08Security and international processing
We use safeguards intended to protect account and workspace information against unauthorized access, disclosure, and loss. No online service can guarantee absolute security. Users should protect their credentials and promptly report suspected unauthorized access.
The location of infrastructure and service providers can affect where information is processed. Information may be processed outside your country. Where applicable law requires safeguards for an international transfer, the transfer must be subject to those safeguards. Contact us for information about the processing locations and safeguards relevant to your workspace.
09Your choices and rights
Depending on applicable law, you may be entitled to access, correct, erase, or obtain a copy of personal information, restrict or object to processing, and withdraw consent where processing relies on consent. These rights are subject to applicable conditions and exceptions. You may also be entitled to complain to a data-protection authority.
A request may require verification of identity or authority to act for a workspace. If SlimDesk handles information on behalf of a workspace business, that business is responsible for deciding the request, with assistance from SlimDesk where appropriate.
10Children
SlimDesk is intended for business use rather than use by children. Workspace businesses are responsible for ensuring that their use of customer information, including any information about children, is lawful and appropriate.
11Changes and contact
We will communicate material changes through an appropriate service notice and update the date shown on this page. Any consent required for a new use of information must be obtained separately.
For privacy questions or requests, contact SlimDesk in Hong Kong at [email protected]. Include enough information to identify the relevant account or workspace, but do not send passwords or unnecessary sensitive information.
